1. Overview

This Order Cancellation & Change Policy explains how customers can request:

  • Order cancellation
  • Changes to shipping address
  • Changes to items (size, color, quantity, etc.)

Because we aim to process orders quickly, cancellations and changes are time-sensitive and not guaranteed once an order has entered processing or shipping.


2. Time-Sensitive Requests

We begin processing orders shortly after they are placed. Once an order has been:

  • Sent to our warehouse/fulfillment team, or
  • Handed over to the shipping carrier

it may no longer be possible to cancel or modify it.

Important

  • We cannot guarantee cancellation or changes after an order is submitted.
  • All requests are handled on a best-effort basis.

3. How to Request a Cancellation

If you need to cancel your order:

1. Email us as soon as possible at support@graywords.com

2. Use the subject line: “Order Cancellation Request – [Your Order Number]”

3. Include:

  • Full name
  • Order number
  • Reason for cancellation

We will review your request and:

  • If the order has not yet been processed or shipped, we will attempt to cancel it and confirm by email.
  • If the order has already shipped or entered final processing, cancellation may no longer be possible.

In that case, you may need to receive the order and then follow our Return & Refund Policy.


4. How to Request a Change (Address, Item, Size, etc.)

If you need to change something in your order (address, size, item, quantity):

1. Contact us immediately at support@graywords.com

2. Use the subject line: “Order Change Request – [Your Order Number]”

3. Provide:

  • Full name
  • Order number
  • Exact change requested (new address, new size, remove/add item, etc.)

We will do our best to accommodate your request if the order has not yet been processed.

Changes that are not guaranteed include:

  • Changing the shipping address after processing
  • Changing product variants (size/color) if items are already packed or shipped
  • Removing or adding items after payment is captured

If we are unable to modify your order, you may use our Return Policy after delivery where eligible.


5. Orders Already Shipped

Once your order has been shipped:

  • It cannot be canceled.
  • The shipping address cannot be changed.
  • Item changes are no longer possible.

In these cases, you may:

  • Refuse the package upon delivery (where allowed by carriers), or
  • Accept the package and start a return request in line with our Return & Refund Policy.

Please note:

  • Original shipping charges are generally non-refundable.
  • Return shipping may be the responsibility of the customer unless the return is due to an error on our part.

6. Pre-Orders or Backorders

For items marked as pre-order or backorder:

  • You may request cancellation up until the time the order enters processing for shipment.
  • Once processing begins, the same rules as standard orders apply.

Processing timelines for pre-orders/backorders may be longer and will be stated on product pages when applicable.


7. Refusal of Cancellation or Change Requests

We reserve the right to deny cancellation or change requests when:

  • The order has already been processed or shipped
  • The requested change is not feasible (e.g., item out of stock, wrong region, etc.)
  • The customer has a pattern of frequent cancellations or chargebacks
  • We suspect fraudulent activity or abuse of our policies

In all cases, we aim to act fairly and in good faith.


8. Refunds for Approved Cancellations

If your cancellation request is approved before the order ships:

  • We will process a refund to your original payment method (PayPal).
  • Refund processing time is typically 3–7 business days, depending on your bank or PayPal.

No cash or alternate payment method refunds are offered for online orders.


9. Responsibility for Customer Information

Customers are responsible for:

  • Providing accurate shipping information at checkout
  • Reviewing their order details before submitting the order

We are not responsible for:

  • Incorrect shipping addresses
  • Orders placed with wrong items, sizes, or quantities
  • Delays caused by incorrect or incomplete information

If a cancellation is not possible because the order has already shipped:
